A signature is a few lines of text that are added automatically to the end of an outgoing message when it is sent. A signature can be whatever you want, but it is mostly used to give contact information (telephone, address, and so forth). You use only one signature at a time in a message, but you can create as many different signatures as you want.
The instructions on how to do this depend on what program you are using eg: Outlook Express.
The easiest way is to open your email program click on the Help menu and then search for "signature" for instructions.
For Outlook Express:
To add a signature to outgoing messages
- On the Tools menu, click Options, and then click the Signatures tab.
- To create a signature, click New and then either enter text in the Edit Signature box or click File, and then find the text or HTML file you'd like to use.
- Select the Add signatures to all outgoing messages check box.
Notes
- To use different signatures for different accounts, in the Signatures area, select the signature, click Advanced, and then select the account you want to use the signature with.
- To use a signature on individual messages only, make sure to clear Add signatures to all outgoing messages. When you compose the message, on the Insert menu, point to Signatures, and then click the signature you want to use.
For Eudora:
Create a Signature - Eudora comes with a default signature called Standard. This is an empty signature file that you fill with signature text.
To create a new signature, do the following:
- From the Tools menu, choose Signatures or click the Signature window’s tab if it is the inactive window in a tabbed group. The Signature window appears.
- Right-click anywhere inside the Signature window and choose New from the context menu (right-click). Eudora displays the Create New Signature dialog box, and asks you for a name.
- In the dialog box, enter a signature name and click OK. A signature window appears.
- Enter your signature text in the signature window. To format the text with styles, see Formatting Text.
- Save the signature file using the File menu Save command.
- Close the signature window.
